Good cause, nice people.

Some suggestions for next year:
1) Have a pre-event meeting and agree on all of the logistics. E.g. how many tables and chairs are needed. Verify the communication with the butterfly vendors is synced with the hours you have volunteers.
2) Have a large map where set-up locations are identified, e.g. 3 tables and 6 chairs needed by the ropes event. Circle those locations where you want the tables placed and include arrows to show orientation.
3) Based on past events, calculate how many volunteers are actually needed.
4) Have contingency plans for rain or drippy days. E.g. covers for the tables, additional canopies, plastic bags or totes to keep paper and the shop towels dry.
5) Communicate and coordinate before the day of the event. Gather all relevant staff in one room and make sure everyone knows what is happening and has a copy of the event day plan.
